Introduction

This Privacy Policy outlines who we are, what and how we collect, process, share and retain your personal information, and how, when doing so we fulfil our legal obligations to you when you make contact with us or use one of our services.

Your privacy is important to us and we are committed to protecting and safeguarding your data privacy rights. We will also tell you your rights under the relevant Data Protection legislation and how you can contact us.

Who are we?

PB Select Ltd provides permanent recruitment services and we are the data controller in respect of the information covered by this Privacy Policy.

What is the Purpose and Legal Basis of processing?

PB Select Ltd will collect your personal data (which may include sensitive personal data) and will process your personal information for the purposes of providing you with recruitment services. This includes for example, contacting you about job vacancies, assessing your suitability for current or future roles, communicating with you about services and events which we feel will be of interest to you (including in response to information you have requested or as a result of visiting our website or receiving a previous service from us), updating our databases, contacting you to conduct research about your experience and to obtain feedback on current or new services, arranging payment to you and from you and developing and managing services and relationships with you.

PB Select Ltd has certain legal and contractual requirements to collect personal data.  Our clients may also require this personal data, if you choose not to give us your personal data we will not be able provide you with the benefits of PB Select’s services.

Marketing

We will only send marketing communications to you via email, text or other communication means where you have consented that we may do so.  You can opt-out from receiving these at any time by contacting info@pbselect.co.uk.

Automated Decision Making and Profiling

PB Select Ltd does not use any automated decision making or profiling processes.

What is Personal Data?

Personal data is information that relates to an identified or identifiable individual. We will only collect information about you for the purposes of providing you with the best recruitment services that are tailored to you.  We will only ask for details that will help us help you such as name, date of birth, contact details (including email address, postal address and telephone numbers), education details, employment history, immigration status, criminal convictions, passport/driving licences details, referee details, images in photographic or video format (where we record any footage of a video conference between you and us or you and a client), health information including whether you have a disability for the purposes of asking if reasonable adjustments are required to attend an interview and of course anything else that you choose to share with us.

If you are providing us with details of referees, they have a right to know and to be aware of the personal information we hold about them, how we collect it and how we use and may share that information.  Please share this privacy policy with them.

If you are a client of PB Select Ltd then we actually only need to collect and use a limited amount of information about you and individuals who work at your organisation (such as their names, telephone numbers and email addresses) for the purposes of providing services to you such as a) finding suitable candidates to fulfil your vacancy requirements b) facilitating invoicing processes c) contacting you with information that is likely to be relevant and useful to you.

How do we collect your Personal Data?

We collect your personal information in the following ways:

Information you choose to give us. There are a number of ways that you can choose to share your information with us and include when you complete the online forms on our website, by submitting your CV (whether leaving a hard copy at an event or submitting electronically), by entering information on our website or submitting information via job boards as well as information shared at events or via the telephone.

Information we collect automatically. This includes communications which pass through the PB Select’s systems on or from PB Select’s devices, including emails, text messages, app based messages (such as WhatsApp or Messenger), comments you post on social media platforms or related social media accounts (including LinkedIn).

Information we receive from other sources. Depending on the circumstances and subject to applicable local laws and requirements, we can receive information from other sources, such as LinkedIn, Facebook and other social media platforms including job sites. If you were referred to us by another recruitment agency, then they may have shared personal information about you to us, your referees may have disclosed information about you to us. If you ‘like’ our Facebook pages or ‘follow’ our blogs, LinkedIn or Twitter feeds, we will receive your personal information from those sites.

Who do we share your information with?

PB Select Ltd may share candidate or client information for the purposes of providing recruitment services, such as assessing candidate suitability, arranging interviews and sending out any relevant correspondence and to ensure that the services you and our clients receive are carried out as expected.  Our clients should acknowledge that they will be required to comply with their own legal obligations under the applicable Data Protection Laws when processing or dealing with personal data relating to candidates.

Information is only shared with third party organisations where deemed necessary to fulfil the services described above or where you have consented to the disclosure of your personal data to individuals and organisations. This may also include contractors or suppliers such as those hosting and/or maintaining our website content, or for providing certain features contained within our website or any other marketing services.

If it is determined in our sole discretion that we are under a legal obligation to do so, we may share your personal information with government or law enforcement authorities.

PB Select Ltd will not sell, rent or lease any candidate or client personal information to third parties.

How and Where Do You Store or Transfer My Personal Data?

Your privacy is important to us and we are committed to protecting and safeguarding your data privacy rights that is why we have put in place appropriate measures that are designed to prevent unauthorised access to and misuse of, your personal information. We do this by having in place a range of appropriate technical and organisational measures including password protected devices such as computers and mobiles, anti-virus software and data handling policies and procedures to reduce the risk of a data breach or cyber attack.

Although we are committed to doing our best to protect your personal information, you should be aware that the transmission of information via the internet or email is not completely secure and we cannot guarantee the security of your personal information transmitted to the website or any third party in this way.

PB Select Ltd will not transfer the information you provide to us to countries outside the European Economic Area for the purposes of providing you with recruitment services. However, the sharing, storage and processing of your personal information may take place in any other country in which the recipients of the information are located or maintain facilities. Some overseas countries do not have data protection legislation equivalent to that in force in the European Economic Area.

How long do we keep your information?

PB Select Ltd will retain your personal data only for as long as we have an ongoing relationship with you. We will delete your data after 3 years with no meaningful contact.

Accessing our Website and Cookies

There is actually only a limited amount of information we use to understand your interactions and usage of our website, to help improve your experience when using our website and to help manage the services we provide.  We may collect information about how you use our website, the sections you access, the frequency with which you access it and the times of day you visit it.

We will update this privacy statement from time to time.  We will post any changes on the statement with revision dates.  If we make any material changes, we will notify you.

Where you have consented to PB Select Ltd processing personal data and sensitive personal data you have the right to withdraw that consent at any time by contacting us. Please note that if you withdraw your consent to further processing that does not affect any processing done prior to the withdrawal of that consent, or which is done according to another legal basis.

Right to Rectification

If you believe that any of your data is incorrect or incomplete, please contact us and we will take reasonable steps to check it’s accuracy and correct where necessary. Please note that you can also change your marketing preferences or unsubscribe at any time by emailing info@pbselect.co.uk.

Right to Data Portability

If you wish, you have the right to transfer your data from us to another data controller and we will assist with this.

Right to Erasure/to be forgotten

You have the right to request the deletion of your personal data, for example where processing is no longer necessary for the purposes for which the data was collected.

Right to Object

If we are using your data because we deem it necessary for the purposes of providing recruitment services as outlined above and you do not agree, you have the right to object. We will respond to your request within 30 days (although we may be allowed to extend this period in certain cases). Generally, we will cease processing unless we can demonstrate compelling grounds.
